M-Files DMS is a document management software solution which is a desktop download with a free trial available and no credit card required to try it out. It was designed to help you organize, store and search for the latest versions of files quicker using a centralized account and more effectively utilize space on your hardware. I like that you can search by several criteria including status, data, project, client among other ways. And you have a lot of control of how you want the data to display in folders as well. You can add new documents easily and the software will only ever present the latest saved version of the document you're looking for. I've recently reinstalled my digital audio workstation on to my primary desktop hard drive and this process lasted several days and is nearly five hundred gigabytes of data. I was using CCleaner duplicate search along with my Windows File Explorer to ensure there was only one .dll file and other duplicate files and it was a hassle. This software for professional purposes can save a lot of time and energy and I believe it would have been helpful for this personal situation as well. The search function is super fast and it reads the documents as well, not just the titles so you can find exact content not just documents which is always good. While more than one person can make changes to files in real time even offline. It's as simple as right clicking on it to view the file history so it can't be any simpler. There's a check in and check out feature which tracks when files are edited and by whom which is terrific if you have ever run a team and multiple projects before. It's actually quite a mobile software despite being downloaded. You have access to native mobile apps for Android, iOS and Windows Phones so it's great for remote teams and managers. The drag and drop technology is particularly helpful. The software was built to integrate seamlessly right into Windows so you can right click any file and add it to your M-Files account very easily from anywhere on your computer. I like the Office 365 integration as well as the Outlook integration. I am an Office 365 cloud subscriber and use these tools almost every day so this makes life easier as I am creating hundreds of documents per week, and anything I can do to keep organized and most productive is good to go. The electronic signatures integration is especially useful and an extremely valuable as a sales tool in my opinion. The ability to save printing and printer maintenance costs as well as time emailing and scanning is huge. This is usually a monthly cost software as a service in most cases.

The software is integrated well into Windows and it is easy to use but I would argue there is a small learning curve in order to get the full potential out of it. This would only include spending a couple of hours perhaps three to watch their videos, read the documentation and spend time to enhance your folders and custom views to suit your workflow. It's not an overly difficult learning curve at all but worthwhile to take advantage of M-Files fully. I personally love that this software integrates with Windows so well, though this may limit your team if someone you count on is using a Mac, but of course there are ways around this. You could purchase this team member a Windows laptop just for work, for example. It's a three to five hundred dollar fix but if this person is valuable to your team this is an easy decision to make.

Overall, this is a very useful software for Windows users with multiple projects on the go and a team coordinating efforts. The ability to track and organize documents across departments and teams is a great way to prevent miscommunication and stay on the same page. Your overall efficiency and productivity will go way up using this software and at this price it is extremely reasonable as an investment.
