Azeus Convene

Convene is a boardroom collaboration software which makes helps person meetings and remote meetings much simpler and more organized. I am interested in hosting meeting with colleagues around the world so I thought this might be the app to make it possible. I like that meeting attendees can utilize several features such as annotations, note taking, laser pointers and interactive viewing in real time. It has support for several document types so there's no need to convert your word or excel documents in to PDF's so that's great. You can save a lot of resources such as paper and printer maintenance for example as well as shipping expenses which is great. It's a huge time saver as well because there is far less time required to organize important meeting even if you're team are in multiple time zones. You're able to assess your minutes or resolutions as well as your action items. And it's available for iOS and Android which is great because I use both every day. It's configurable in the sense you can assign roles to users so your team has exactly the access they need to help focus and stay on task. There is a strong security component as well which was an important aspect when considering. The audit feature is strong as well because you never know when you need to refer to your history in detail.

The easiest way to setup the app is to link from an email but as the convener there would be a bit more to setup initially to ensure the security settings are correct. And troubleshooting for remote team members could be a bit tricky if the person attempting to join is not overly technically savvy. It is also important to ensure your team has devices which are compatible with the app as there are reviews of some having issues in the Google Play store for example.

I like the idea of presenting remote meetings with my joint venture partners in far greater detail than previously before. We've not been able to annotate notes or take minutes and track action items like this in the past. It's great that it works across multiple platforms though do ensure your team tests the app prior to joining a meeting for the first time. The whiteboard is a cool feature and facilitates creativity. It has box and dropbox integration as well so cloud storage is not an issue and documents are available instantly anytime. The main benefit in my opinion are how much time you can save which ultimately is a cost savings as well. In fact the savings are so significant it's tough to consider using anything other than this app and if you face to face meetings with multiple people in remote locations the general ease of access, security, cloud storage integration, writing tools, audit history are without a doubt going to give you a solid ROI.
